Property Alert

Arlington County Circuit Court Clerk's Office allows registered users of the Cloud Search records management system to sign up for alerts if documents are filed that match the user’s property search criteria.  This service is called Property Alert, managed by our vendor, GovOS, via the Cloud Search records management system.    There is no cost to set up alerts or to view summary index information, but there is a cost to view related documents.

Setting Up Property Alerts

To set up alerts, take the following steps:

  1. Visit the Arlington County Cloud Search site and become a registered user. Make sure to activate the account via the email sent to you after signing up.

  2. Click on Property Alert on the home page to begin. Select one of two ways to set up an alert:

    a) Use the first prompt, “Enter a key word” to type in criteria (name, address, RPC, etc.) to activate an alert (if by name, enter last then first name). Note: Enter RPCs without dashes.

    b) Use the second prompt, “Find a document,” to search for a document and click on the Property Alert blue tab above the index information. A drop down will appear. Click on the items of information for which you would like to receive alerts (name, address, RPC, etc.)

  3. Receive an email that your alert(s)have been set up.

Receiving Alerts

Beginning the day after you have signed up for an alert, alerts will be sent to you based on the criteria you selected when new documents are filed.  Alerts are not issued for documents already in the system.  You can review current documents by searching in Arlington County Cloud Search   

Alert emails will come from  VanguardSupport@govos.com (our vendor is GovOS.)  Please make sure to check you spam or junk email as these emails are sometimes directed there.  The top of the email will read, “County of Arlington, Clerk of the Circuit Court.” 

Note:  Depending on the criteria you select, you may receive multiple alerts related to the same document filing.  For example, if you select a name, RPC, and address all related to the same property, you will receive three alerts if a document is filed related to that property if all three criteria are in the filed document.   

Additionally, depending on when the document is recorded and when it is verified, you may receive multiple alerts related to the same filing.  Check the instrument numbers of alerts received to determine if it is a repeat alert.

Accessing Document Information and Images

If you are signed into Cloud Search, when you click on the “View Document” tab at the bottom of the page, you should go directly to the document information.  If you have received multiple alerts in one email, click on the instrument number to be linked to the document information in Cloud Search. 

If you click on the “View document” and receive the message, “forbidden,” then use the “sign in” link to log into your Cloud Search account.  If the link takes you to your list of alerts, go to the home page or open a new tab and log in directly to Cloud Search.  Use the instrument number from the alert email to search for that document.

As a registered user, you can view the document information for no charge. 

As a registered user, if you wish to view the image of the document, you will need to purchase the document by placing it in your cart and paying $0.50 per page and a $2.00 transaction fee.  You can also come into the Circuit Court Land Records office and view the document for free at one of our kiosks.  (Note:  Subscribers to the Secure Remote Access System can view images automatically.  Subscriber information can be found here.)  

 

Monitoring and Removing Property Alerts

To view a listing of all the Property Alerts for which you have signed up, click the Property Alert icon on the home page and select the View Dashboard link or click on your name in the upper right and click on Property Alerts in the left sidebar.  You can add or delete selected criteria by clicking the ADD button.

Viewing Images Cost

As a registered user, you can view the indexing information related to a document filed for free.  If you wish to view the document image, you will need to purchase a copy of the document at a cost of $0.50 per page and a $2.00 transaction fee.  You can also visit the Arlington County Land Records Division office and view the document for free at a kiosk and print the document for a cost of $0.50 per page.

If Fraudulent Activity Is Suspected

Property Alerts are notices that a document has been filed matching property criteria selected.   If you have a question about the document, you can call the Land Records Office of the Arlington County Circuit Court at 703 228 4369 or email landrec@arlingtonva.us.    

If you believe fraud may have occurred, contact your attorney or the Arlington County Police Department at https://www.arlingtonva.us/Government/Departments/Police-Department/Online-Police-Reporting-System . 

Property Alert does not prevent fraud.  The alerts are notices that recording activity has occurred that matches your selected alert criteria.  

The Arlington County Circuit Court Clerk’s Office and Arlington County are not liable for damages related to fraudulent property transactions.
