DPR Refund Policy & Religious Accommodations

Enjoy Arlington Classes, 55 Guide & Nature Center Programs

Refunds must be requested in-person or over the phone through the DPR Registration Office at 703-228-4747 or through the appropriate Program Office.

Full refunds for DPR programs will be made within 5 business days of cancellation when canceled by DPR due to insufficient enrollment or other unforeseen reasons, or upon request when schedule or location changes made by DPR prohibit or limit your attendance. These refunds may be retained as a household credit; however, the account guardian can call the Registration Office to obtain a refund via credit card or check.

In order to receive a refund or credit, customers must cancel within 48 hours after the first class. All refunds due to customer cancellation are subject to a $20 service charge, even if the refund remains as a household credit. No refunds or credits will be given after this deadline, or if a customer is unable to attend a one-session program, class, or workshop. No refunds or credits are given for programs costing less than $20.

In cases where the program fee includes the price of a ticket or other fees paid by DPR to a third party, such fees will be refunded to you to the extent that DPR is able to get a refund from the third party or is able to enroll another participant.

Refunds for medical reasons must be accompanied by a physician’s note and shall be considered on a case by case basis.

Refunds may be retained as household credits to be used towards registration in future DPR programs, credit card charges may be refunded directly to the credit card, or by check. Refunds will be processed within 30 days of the request, and need to be used within one year.

Missing the first class: If there is a potential that the class level may not be adequate for a participant, you are strongly encouraged not to miss the first class so that you may cancel or transfer into the appropriate level class within the 48 hour cancellation period outlined above.

Once a class has reached maximum capacity, you may enroll in a waitlist. We do use waitlists to expand capacity in current or future programs. Once a spot becomes available, you will be contacted via email or phone (the information that we have on your household account) and will be given up to 24 hours to respond before the next person on the wait list is offered the available spot. Wait listed participants can be contacted starting a week after first day of registration and up to the start of the second class. After the second class, all waitlists are voided. If the first class has already started, fees will not be prorated for past classes (you will be charged the full price) and there is no opportunity to cancel or transfer after the first scheduled class. Being on the wait list does not guarantee enrollment.

Cancellations due to weather related conditions: If a session is cancelled due to weather, the class may be extended to honor the original number of sessions. In the case that an extension of the class is not possible, refunds in the form of household credits will be made at the end of the season. The account guardian may call the Registration Office to obtain a refund via credit card or check.

Therapeutic Recreation: Adult Going Places and Young Adults Going Places
If you need to cancel your reservation for the meeting/trip, you must call the TR Office (703-228-4740) 48 hours before the meeting/trip. If the space can be filled, you will be given a credit on your account. Sorry, no refunds! If the reserved space cannot be filled, you will still be responsible for the fee.

If you make a reservation and DO NOT SHOW UP NOR NOTIFY STAFF for 2 meetings/trips, you will lose the privilege to make trip reservations for one month.

If a meeting/trip is cancelled, a message will be put on the answering machine for the TR Office two hours prior to the start time.

Summer Camps

All camp refunds are specific to each camp session, it is the responsibility of the guardian to cancel by the deadline if the camper will not attend.

All refunds can be processed online, in person at Lubber Run Community Center, or by calling 703-228-4747, option 1.

Online cancelations will be issued in the form of a household credit. To receive a refund back to your original method of payment call 703-228-4747, option 1.

50% Refund

Starting Monday, May 1, 2024, a refund of 50% of the total fees paid will be issued up to 14 calendar days prior to the start of camp, according to the following schedule:

No Refund

No refunds will be issued in the following circumstances:

  • When cancelation is requested less than 14 calendar days prior to the start of the camp session. For example, for a camp beginning on Monday, July 10, 2024, no refunds will be issued if the cancelation is requested after Monday, June 26, 2024.
  • For any missed program days within a camp session/s.
  • When a camper is sent home early in accordance with the Parent Handbook (e.g., due to illness, injury and/or for behavioral issues).
  • Program dissatisfaction.

Refunds Allowable

  • Medical: Refund requests due to medical reasons must be accompanied by a physician’s note and shall be considered on a case-by-case basis. Physician’s notes must be received by Sept. 6, 2024, to be considered.
  • Parks & Recreation Program Closures: If a camp day or session is canceled by Arlington County Parks & Recreation for any reason, a prorated refund in the form of household credits will be made by Sept. 6, 2024. To receive a refund back to your original method of payment call 703-228-4747, option 1.

Year Round Break Camps

All year round break camp registration changes/cancellations can be processed online, in-person with our registration staff, or over the phone at 703-228-4747. All cancellations will be subject to a $20 cancelation fee. Cancellation fees are assessed per person and for each program individually.

No refunds will be issued less than seven calendar days prior to the start of camp. 

Camp refund rates are unique/specific to each camp offering. Payment is not based on attendance; it is the responsibility of the guardian to cancel by the deadline if the camper will not attend.

All year round break camp registration changes (transfers/cancelations/refunds) are processed by the Department of Parks and Recreation, Admin. Services Office ONLY and not camp or community center staff. *Transfers are subject to availability. Once a change is made, please read and note your receipt number, since registrations will be held responsible for payment.

Refunds can take up to two weeks to process and may be retained as household credits to be used towards registration in future DPR programs, credit card charges may be refunded directly to the credit card, or by check. Check refund process takes 4-8 weeks. Refunds will be processed within 30 days of the request and need to be used within one year.

Cancellations due to weather related conditions: If a camp day or session is cancelled due to weather, a prorated refund in the form of household credits will be made following the completion of the camp program. The account guardian may call the Department of Parks and Recreation to obtain a refund via credit card or check.

Religious Accommodations

A scheduled class may fall on a religious holiday. In an effort to respect the community we serve, class participants may make-up a class session that will be missed due to conflicts with their religious holidays, provided another class is available with space. Participants needing such accommodation must inform the registration office at (703) 228-4747 prior to the first day of the class.
